What we collect
We collect only what we need to respond to you. We collect information in these ways.
When you request free cleaning support, or refer someone
Who is filling in the form; what help is needed; the person’s name, telephone number, address and postcode, and an email address if they want to give one; and whether it is safe for us to call and leave a voicemail (and, if not, how to contact them safely).
If you are referring someone else
Your name, your relationship to them (or your role and organisation if you are a professional), your telephone number and, if you want to give one, your email address. You also confirm that the person knows about the request and agrees to it. We always call the person who needs support.
When you send us a message
Your name, how you would like us to reply, your telephone number or email address, and your message.
When you make a donation
The amount, and if you choose to give them: your name, an email address for your receipt and a short message to the team. See “Donations” below.
When you send any of our forms
To stop spam, our website briefly counts how many forms are sent from your internet connection (its IP address). The count is kept in the website’s memory for up to an hour and is never saved or added to your request.
When you phone or email us
Your contact details and what you tell us.
We do not ask for medical details. Please leave them out of the form and out of any message. Please do not include details about abuse in a message either: we will talk about anything private on the phone.
How your request reaches us
Our website does not keep a copy of what you send. When you send a request or a message, the website emails it straight to our team’s private mailbox, support@skyluxecleaning.com, over an encrypted connection.
- The email to our team
- Everything you filled in, laid out so we can call you safely. Its subject line holds only the kind of request and a reference number, never your name or details.
- A confirmation to you
- We never email the person a request is for: if you ask for yourself, we phone you. If you refer someone and give your email, a confirmation goes to you, not to them. For a message, only if you choose email. It holds your first name, a reference number and what happens next. It never repeats what you told us.
- Donations
- When Stripe confirms a donation, our team gets an email with the amount, a reference, your name (unless you give anonymously) and your message. If you gave an email, we send you a short thank-you.
We never send texts, and we never add anyone to a mailing list.
Sensitive information
Information about health, disability or domestic abuse is called “special category” information in the law. It needs extra care.
- Our request form does not ask about health, disability or domestic abuse. It asks only what help is needed, in a few words.
- Please leave out medical details.
- If you choose to tell us something sensitive, on the form or when we call, we use it only to understand what help is needed and to keep people safe when we contact them.
Why we use your information
- to review a request and decide whether we can help
- to call you, or the person who referred you, to discuss the request
- to agree the cleaning support, duration, date and time with you, if we can help
- to contact you safely, in the way you told us is safe
- to reply to your messages
- to take a donation, send a receipt if you ask for one, and keep the records the law requires
We do not sell your information. We do not use it for marketing, and we do not send a newsletter.
Our legal reasons
Data protection law (the UK GDPR) says we must have a legal reason, called a “lawful basis”, to use personal information. These are ours.
- Requests and referrals
- Legitimate interests: we need this information to respond to a request for free support and to arrange it safely.
- Anything sensitive you choose to tell us
- Your explicit consent: we only use it if you choose to tell us, and, if someone referred you, we check it with you when we call. You can withdraw it at any time by contacting us.
- Messages, calls and emails
- Legitimate interests: so we can reply to you.
- Donations
- To complete the donation you asked to make, and our legal duty to keep accounting records.
- Spam protection
- Legitimate interests: to keep our forms working and stop automated spam. The count by internet connection is kept for up to an hour, in memory only.
If we believe someone is at serious risk of harm, the law also allows us to use and share information to protect them (the Data Protection Act 2018, Schedule 1, “safeguarding of children and of individuals at risk”).
Donations
Giving your name, an email address and a message is optional. You can also choose to give anonymously: then we do not record or show your name.
Card donations (including Apple Pay and Google Pay) are taken by Stripe, a secure payment company. You type your card details into Stripe’s own secure box on our Donate page, so they go straight to Stripe: we never see or store them.
Stripe keeps a record of each payment and sends your receipt if you gave an email. Stripe also uses payment information to prevent fraud, as its own privacy policy explains.
Who can see your information
Only members of the Skyluxe team can read our support@ mailbox, where requests, messages and donation emails arrive.
We use two trusted companies to run our website and services. They act only on our instructions and may only use your information to provide their service to us:
- Hostinger
- hosts our website and our email mailbox, where your request or message arrives
- Stripe
- takes card donations, including Apple Pay and Google Pay
Some of these companies may handle information outside the UK. When they do, they must protect it to the standard UK law requires, for example with the legal safeguards the ICO approves for international transfers.
How long we keep it
We keep information only for as long as we need it, then delete it.
- Request and referral emails
- Deleted from our mailbox 12 months after the request is closed
- Messages
- Deleted from our mailbox 12 months after our last reply
- Donation records
- Kept for 6 years, because companies must keep accounting records
- Spam-protection count
- Up to an hour, in the website’s memory only
How we keep it safe
Our website uses a secure, encrypted connection (https). It does not store requests or messages: it passes them straight to our private mailbox over an encrypted connection, and only our team can read it.
Your answers on our forms stay on the page until you send them: our website does not save them on your device.
For your safety, we never email the person a request is for. If you refer someone, a short confirmation goes to you, not to them; for a message, only if you choose email. It never repeats what you told us, and we never send texts. A member of our team will contact you, in the way you told us is safe.
